Wholesale (B2B) Warranty & RMA Terms

Scope: These terms apply to authorized wholesale customers located in the United States (all states & D.C.) purchasing EW-branded products for resale.
Audience: This document applies to resellers/wholesale customers. Consumers should use the Consumer 1-Year Limited Warranty (U.S.).
1. Coverage, Term, and Purpose
EW warrants to its authorized wholesale customers that EW-branded products will be free from defects in materials and workmanship under normal intended use for one (1) year from EW's invoice date (the "Wholesale Warranty Period"). This is a defect-only warranty; non-defective returns are not accepted (no stock balancing).
Consumer-Direct Option
To reduce handling by the reseller, an end-consumer who purchased an EW product from an authorized channel may file directly with EW for a warranty exchange under the Consumer Limited Warranty. EW will verify the consumer's purchase and, if approved, provide a replacement directly to the consumer. EW will not debit the reseller's account unless the reseller requests to receive and redistribute replacements.
2. Who May Submit a Claim
- Wholesale claimant: The authorized wholesale account holder, typically for multi-unit returns.
- End-consumer claimant: The consumer who purchased the product from the wholesale customer's retail channel.
In both cases, proof of U.S. purchase and defect evidence (photos, serials/batch labels where applicable) are required.
3. Required Pre-Approval (RMA) and Validity
- RMA required for all returns.
- RMA validity: 30 calendar days from issuance. Items received after expiry, or items returned without an RMA, may be refused and returned at the sender's expense.
- Shipment identification: The RMA number must be on the outer carton of each box/pallet; include the RMA paperwork inside each carton. Box counts must match the RMA.
4. Claim Intake & Wholesale Dashboard
A) Wholesale dashboard (recommended)
Log into your Wholesale Warranty Dashboard on electronicworldusa.com to submit an RMA request, including:
- Account name/ID, contact info, and ship-from address.
- Product list (SKU, description, serial/batch if present), quantities by line item.
- Clear photos showing the alleged defect(s); concise failure description and test steps.
- Original EW invoice number(s) and dates.
B) End-consumer route
End-consumers may submit at electronicworldusa.com/warranty or by email to info@electronicworldusa.com with required photos and proof of purchase. Wholesale partners are encouraged to direct consumers to this option to reduce handling at the reseller.
5. Shipping, Freight, and Risk of Loss
- Inbound freight: Prepaid by the sender (wholesale customer or consumer). Collect/COD shipments are refused.
- Packaging: Return products complete, in original retail packaging (if available), with all accessories/components. Incomplete returns may be denied or reworked at sender's expense.
- Risk of loss: Risk passes to EW upon delivery at the Warranty Center. Damage/loss in transit to EW is the sender's responsibility to claim with the carrier.
- Consolidation: For multi-unit RMAs, consolidate by SKU and label cartons with RMA and box count (e.g., 1 of 3).
6. Discrepancy & DOA Windows (Inbound to Reseller)
To preserve claims and carrier recovery, wholesale customers must notify EW in writing:
- Shipping damage or shortage: Within 5 business days of delivery. Retain cartons/labels for carrier inspection.
- Wrong item shipped (unopened): Within 3 business days of delivery; return within 7 days with prior approval for full credit or correct exchange.
7. Evaluation, NFF (No Fault Found), and Handling
- Evaluation timeline: EW targets up to 30 calendar days from receipt to evaluate and communicate outcome. Large-volume RMAs may require additional time; EW will update status through the dashboard.
- Testing: EW may test samples from a batch to determine batch disposition.
- NFF: Units found non-defective (NFF), physically damaged, out of warranty, counterfeit/altered, or incomplete will be returned at sender's expense and may incur a reasonable evaluation/handling fee.
- Abandonment: If return shipping fees are not arranged within 30 days of notification, EW may dispose of the items.
8. Remedies (Wholesale)
For confirmed defects reported within the Wholesale Warranty Period, EW will, at its option:
- Replace the product with the same model or a functionally equivalent new or refurbished product; or
- Issue an account credit to the wholesale customer (not available to end-consumers under the consumer warranty).
Important Notes
- No refunds under wholesale terms.
- Discontinued/out-of-stock items may be replaced with functionally equivalent models.
- Title to replaced units passes to the wholesale customer upon delivery; title to defective units passes to EW upon EW's receipt.
9. Cross-Shipping; Advanced Replacement
Cross-shipping or advanced replacement is not standard and requires prior written approval from EW. EW may require a deposit/hold equal to the replacement value and reserves the right to invoice for unreturned items.
10. Exclusions (Wholesale)
The exclusions mirror the consumer exclusions (e.g., wear & tear, misuse/abuse, unauthorized repair, incomplete returns, data loss, counterfeit/altered goods, non-U.S. purchases). Wholesale claims for non-defective returns, overstock, buyer's remorse, or stock balancing are not accepted under these terms.
11. Limitations of Liability; Implied Warranties (Wholesale)
To the maximum extent permitted by law, EW is not liable for incidental, indirect, special, punitive, or consequential damages, including lost profits, loss of business, or interruption. Implied warranties (merchantability/fitness) last no longer than 1 year from EW invoice date, where permitted by law. Some states do not allow these limits; where they do not, EW's obligations are the minimum required by that state's law.
12. Governing Law; Arbitration by Reference; Small-Claims
These Wholesale Terms are governed by Texas law (without regard to conflicts-of-law rules). Dispute resolution is subject to the Binding Arbitration & Class-Action Waiver in EW's Terms of Sale available on electronicworldusa.com. Except for individual small-claims matters, disputes will be resolved by binding arbitration as described in those Terms. If a dispute is determined not to be arbitrable, actions must be brought in the state or federal courts located in or nearest to Fort Bend County, Texas, and the parties consent to jurisdiction there.
13. Miscellaneous (Wholesale)
- No assignment: Rights under this warranty may not be assigned without EW's prior written consent.
- No modification: No distributor, agent, or employee may modify these terms except by a written addendum signed by an EW officer.
- Severability: If any provision is held unenforceable, the remainder remains in effect.
- Entire terms: These Wholesale Warranty & RMA Terms represent the entire agreement on warranty/RMA between EW and the wholesale customer and supersede prior versions.
- Versioning: The version in effect on the EW invoice date applies to the claim.
